How to import bank transactions into QuickBooks
QuickBooks Online imports bank activity through QBO files. If your bank only provides a PDF, first convert it to QBO, then review the transactions before matching and categorising them.
StatementBee works locally. Your PDF is processed on your device, not uploaded to our servers or sent to an AI model.
1. Convert the statement to QBO
Choose your PDF bank statement in StatementBee. The PDF is processed in your browser and is not sent to StatementBee.
Check the reconciliation status, then download the QuickBooks (.qbo) file. QBO downloads are available on Pro.
2. Import it in QuickBooks Online
In QuickBooks Online, open Transactions, then Bank transactions.
- 1Select Upload bank statement or the upload icon.
- 2Choose the bank account the statement belongs to.
- 3Select the QBO file you downloaded and confirm the date range.
- 4Review the imported transactions before adding or matching them.
3. Avoid duplicates
Do not import a period already brought in through a connected bank feed. If the account has existing transactions, compare the date range and opening balance before importing.
Importing is not the same as reconciling. Match transactions, categorise them, then reconcile the account against the original statement.
Convert without sending out the statement.
Export Excel, CSV, QBO, QIF or OFX and check the balance before you download.
